Who we share it with

We only share personal information where it is needed to deliver your project or run our business:

  • Production partners, such as print, material and component suppliers, when they produce parts of your signage;
  • Delivery and installation partners, such as couriers, access equipment providers and fitting teams;
  • Landlords, building managers or local planning authorities, only where approval is needed and you ask us to deal with it for you;
  • Service providers for website hosting, email, file storage, accounting and payments;
  • Messaging services: if you contact us on WhatsApp, your messages are processed by WhatsApp (Meta) under its own privacy policy;
  • Professional advisers and authorities, such as accountants, insurers and HMRC, where needed or required by law.

Our service providers may only use your information to provide their services to us.

Photos of our work

We may photograph signage we have produced or installed and show it, together with the business name or logo, on our website and social media. These photos focus on the signage, which is normally on public display, and we try not to include people who could be identified.

If you would prefer your project, logo or business name not to appear in our portfolio, or would like a photo removed, email info@nextleveldesign.co.uk and we will remove it.

International transfers

Some service providers, such as cloud, email and messaging services, may process information outside the UK. Where this happens we rely on the safeguards permitted by UK law, such as UK adequacy regulations or the International Data Transfer Agreement or Addendum.

How long we keep it

  • Enquiries and quotes that do not go ahead: up to 24 months after our last contact.
  • Client and project records, including invoices: 6 years after the end of the financial year they relate to, to meet our accounting and tax obligations.
  • Designs, artwork and production files: kept for as long as you are a client, so we can reproduce, repair or update your signage, unless you ask us to delete them sooner.

When information is no longer needed we delete it or make it anonymous.

Keeping it secure

We use appropriate technical and organisational measures to protect your information, including encrypted website connections (HTTPS), access controls and limiting access to the people who need it. No system is completely secure, so please avoid sending highly sensitive information through our forms or by email.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that is wrong or incomplete;
  • ask us to delete your information;
  • ask us to restrict how we use your information;
  • object to our use of your information where we rely on legitimate interests;
  • ask us to transfer information you gave us to another organisation.

Some rights only apply in certain circumstances. To make a request, email info@nextleveldesign.co.uk. We will normally respond within one month and there is usually no charge.

Cookies

If we introduce analytics or marketing cookies in the future, we will update this policy and ask for your consent before setting them. You can also block or delete cookies in your browser settings.

Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated shown at the top.
